Terms and Conditions – Aegean Aputure

1. Bookings

A booking becomes legally binding only when:

The Booking Form has been completed and submitted, and

The required deposit has been received in full.

The remaining balance must be paid no later than 12 weeks before departure. Bookings made within 12 weeks of departure require full payment immediately.

Aegean Aputure reserves the right to cancel any booking where payment deadlines are not met. All payments must be made in the currency and method specified.

2. Cancellations by the Client

More than 12 weeks before departure

The deposit is strictly non‑refundable.

A €100 administrative fee applies.

If your place is filled by another participant, partial credit may be offered solely at Aegean Aputure’s discretion.

Less than 12 weeks before departure or failure to join

100% of the expedition fee is due and non‑refundable.

No refunds or credits will be issued under any circumstances.

Cancellation insurance is strongly recommended.

Credit Policy

Any credit offered:

Is non-transferable,

Valid for 12 months,

Cannot be exchanged for cash,

May be applied only to expeditions chosen by Aegean Aputure.

3. Cancellations by Aegean Aputure

If Aegean Aputure must cancel an expedition, participants will receive either:

A full refund of all payments made directly to Aegean Aputure, or

An alternative date or equivalent experience.

Aegean Aputure is not liable for any additional costs incurred by participants, including but not limited to:

Flights

Accommodation

Visas

Travel arrangements

Equipment purchases

Refunds apply only to payments made directly to Aegean Aputure.

4. Itinerary Flexibility

All itineraries are indicative only.

The expedition leader may adjust the schedule at any time due to:

Weather

Safety concerns

Wildlife behavior

Participant well‑being

Environmental or logistical conditions

Any unforeseen circumstances

Such changes do not constitute grounds for refunds, credits, or compensation.

5. Travel & Documentation

Participants are solely responsible for:

Their travel arrangements

Timely arrival at the meeting point

All required visas, permits, or documents

Aegean Aputure is not liable for:

Delays

Missed connections

Inability to reach the meeting point

Denied entry due to missing documentation

6. Assumption of Risk

By booking, participants acknowledge and accept that photography expeditions may involve:

Uneven or slippery terrain

Wildlife encounters

Variable and extreme weather

Physical exertion

Remote locations

Limited access to medical facilities

Participants agree to follow all instructions from the expedition leader. Aegean Aputure is not responsible for injuries, losses, or damages resulting from:

Participant negligence

Failure to follow instructions

Pre-existing medical conditions

Accidents caused by environmental factors

Improper use of equipment

Participants confirm they are physically capable of participating.

7. Insurance Requirements

All participants must hold valid insurance covering:

Medical expenses

Emergency evacuation

Repatriation

Personal liability

Photographic equipment

Trip cancellation

Proof of insurance may be requested. Failure to provide proof may result in removal from the expedition without refund.

8. Limitation of Liability

Aegean Aputure’s responsibility begins only at the designated meeting point.

We are not liable for:

Flight delays

Itinerary changes

Force majeure events

Wildlife unpredictability

Weather conditions

Participant equipment failure

Independent arrangements made by participants

Where liability is legally established, compensation is strictly limited to the total amount paid to Aegean Aputure for the expedition.

9. Complaints

Any issue during the expedition must be reported immediately to the expedition leader.

If unresolved, a formal written complaint must be submitted within 7 days of the scheduled return date.

Aegean Aputure will make reasonable efforts to resolve the matter, but cannot guarantee compensation.

10. Image Rights

By participating, you grant Aegean Aputure permission to use photographs or video taken during the expedition for promotional purposes.

However:

Images that identify participants personally will never be used without explicit written consent.

Participants may opt out of promotional use by notifying Aegean Aputure in writing before the expedition begins.

11. Governing Law

These Terms & Conditions are governed by:

Greek law

Applicable EU regulations

Jurisdiction for all disputes: Thessaloniki, Greece.
