Aegean Aputure – Terms & Conditions for Photography Expeditions and Workshops
These Terms & Conditions apply to photography expeditions, photography workshops, guided photography experiences, and related services offered by Aegean Aputure, operated by Konstantinos Georgiadis, Sidirokastro 62300, Greece.
By submitting a booking request and/or making a payment, the participant confirms that they have read and accepted these Terms & Conditions, subject to any mandatory rights granted to consumers under applicable law.
1. Bookings and Payment
A booking becomes confirmed once Aegean Aputure has accepted the booking and the required deposit or payment has been received.
Unless otherwise stated for a particular expedition or workshop:
- A deposit is required to secure the participant's place.
- The remaining balance must be paid no later than 12 weeks before the scheduled departure date.
- Bookings made less than 12 weeks before departure require full payment at the time of booking.
- If the required payment is not received by the applicable deadline, Aegean Aputure may cancel the booking and release the participant's place.
Specific payment deadlines or conditions stated on an individual expedition or booking page will take precedence over these general terms.
2. Participant Cancellation
Cancellation requests must be submitted in writing by email to:
Unless different cancellation terms are clearly stated for a particular expedition, the following cancellation policy applies:
More than 12 weeks before departure
The deposit is non-refundable.
Where applicable, Aegean Aputure may offer a credit toward a future expedition or workshop. Any such credit is discretionary and may be subject to availability and additional conditions.
12 weeks or less before departure
Because places, accommodation, transportation, guides, permits, and other expedition-related arrangements may have been committed in advance, cancellations during this period may result in substantial non-recoverable costs.
Accordingly, the following cancellation charges may apply:
- 12 to 8 weeks before departure: up to 50% of the total expedition price.
- Less than 8 weeks before departure: up to 100% of the total expedition price.
- Failure to attend, late arrival, or voluntary withdrawal after the expedition has started: no refund is normally available.
Where Aegean Aputure is able to recover costs or successfully fill the cancelled place, we may, at our discretion, reduce the applicable cancellation charge or offer a credit.
Any cancellation charges are subject to applicable mandatory consumer rights and applicable law.
Participants are strongly advised to obtain suitable travel and cancellation insurance.
3. Cancellation or Changes by Aegean Aputure
Aegean Aputure reserves the right to cancel, postpone, reschedule, or substantially modify an expedition where reasonably necessary, including because of weather, safety concerns, insufficient participation, access restrictions, natural events, operational difficulties, or other circumstances beyond our reasonable control.
If Aegean Aputure cancels an expedition before it begins, participants will be offered, as applicable:
- a transfer to an alternative date or equivalent experience; or
- a refund of payments made directly to Aegean Aputure for the cancelled service.
Unless required otherwise by applicable law, Aegean Aputure is not responsible for separate expenses arranged independently by participants, including flights, accommodation, transportation, visas, travel insurance, equipment, or other third-party costs.
Where mandatory consumer or travel-package legislation applies, the rights provided by that legislation remain unaffected.
4. Itinerary and Operational Flexibility
Expedition itineraries are intended as guidelines rather than guarantees.
The expedition leader may modify the itinerary, locations, activities, schedule, or order of activities where reasonably necessary for:
- weather conditions;
- safety;
- wildlife or environmental considerations;
- access restrictions;
- local conditions;
- participant well-being;
- conservation requirements;
- operational considerations; or
- other circumstances beyond reasonable control.
A particular wildlife sighting, photographic opportunity, weather condition, landscape, or specific location cannot be guaranteed.
Reasonable itinerary changes do not automatically entitle participants to a refund or compensation, subject always to any mandatory rights under applicable law.
5. Travel and Documentation
Unless expressly stated otherwise in the individual expedition description, participants are responsible for arranging and paying for their own:
- flights and other travel to and from the meeting point;
- visas and entry requirements;
- passports and travel documents;
- travel insurance;
- personal accommodation;
- meals and expenses not expressly included in the expedition;
- photographic equipment; and
- other personal travel requirements.
Participants are responsible for arriving at the designated meeting point at the required time.
Aegean Aputure is not responsible for missed departures resulting from flight delays, traffic, missed connections, incorrect travel arrangements, or late arrival by a participant, except where such responsibility cannot legally be excluded.
6. Participant Health, Fitness and Safety
Photography expeditions and workshops may take place in outdoor or remote environments and may involve uneven terrain, walking, hiking, changing weather, cold or heat, water, wildlife, darkness, altitude, or other natural conditions.
Participants are responsible for honestly assessing their ability to participate and for informing Aegean Aputure in advance of any relevant physical limitations or special requirements that may reasonably affect participation.
Participants must follow reasonable safety instructions given by the expedition leader or guides.
A participant may be asked to stop participating in an activity or leave a particular location where the leader reasonably considers continued participation to create a safety risk to the participant or others.
Nothing in these Terms & Conditions excludes or limits liability that cannot legally be excluded or limited under applicable law.
7. Insurance
Participants are strongly advised, and where specified for a particular expedition may be required, to obtain appropriate insurance covering their participation.
Depending on the nature and location of the expedition, suitable insurance may include:
- medical expenses;
- emergency assistance and evacuation;
- repatriation;
- personal liability;
- cancellation and interruption;
- loss, theft, or damage to personal belongings and photographic equipment.
Aegean Aputure may request reasonable evidence of required insurance before participation.
8. Equipment and Personal Belongings
Participants are responsible for their own photographic equipment and personal belongings.
Aegean Aputure is not responsible for loss, theft, or damage to personal property except where liability arises under applicable law.
Participants should use suitable protective equipment and take reasonable precautions when carrying and using photographic equipment in outdoor environments.
9. Limitation of Liability
Aegean Aputure will provide the contracted services with reasonable care and skill.
To the maximum extent permitted by applicable law, Aegean Aputure is not responsible for losses arising solely from:
- events outside our reasonable control;
- independent travel arrangements made by participants;
- delays or cancellations by airlines or other third parties;
- loss or damage to personal equipment where caused by the participant or circumstances outside Aegean Aputure's reasonable control; or
- a participant's failure to follow reasonable safety or operational instructions.
Nothing in these Terms & Conditions excludes or limits liability for matters where such exclusion or limitation is prohibited by applicable law, including liability that cannot legally be excluded for death, personal injury, intentional misconduct, gross negligence, or other mandatory legal protections.
Where liability may legally be limited, any applicable limitation will be determined in accordance with applicable law and the circumstances of the claim.
10. Complaints
If a participant experiences a problem during an expedition or workshop, they should notify the expedition leader or Aegean Aputure as soon as reasonably possible so that we have an opportunity to address the issue.
Complaints should preferably be submitted in writing to:
Aegean Aputure will make reasonable efforts to investigate and resolve legitimate complaints promptly.
Any statutory rights and applicable consumer complaint procedures remain unaffected by this section.
11. Photography, Video and Participant Image Rights
Aegean Aputure may photograph or record activities during expeditions and workshops for documentation and archival purposes.
Any use of identifiable participant photographs or video for advertising, promotional, social-media, website, or commercial purposes will be subject to appropriate consent where required by applicable law.
Participants who do not wish to appear in promotional photographs or video may notify Aegean Aputure in writing before the expedition or workshop.
Aegean Aputure will make reasonable efforts to respect such requests.
This section does not prevent the use of photographs where the participant is not reasonably identifiable or where another lawful basis for use exists.
12. Intellectual Property
Unless expressly stated otherwise, photographs, written materials, teaching materials, guides, presentations, videos, graphics, logos, and other content created or supplied by Aegean Aputure remain the intellectual property of Aegean Aputure or their respective rights holders.
Participants may use photographs they personally create during an expedition for their own personal purposes, subject to applicable copyright, privacy, wildlife, location, and third-party rights.
Commercial use of materials supplied by Aegean Aputure requires prior written permission unless otherwise agreed.
Participants remain responsible for ensuring that their own photographs comply with applicable laws and third-party rights.
13. Force Majeure
Aegean Aputure will not be responsible for failure or delay in performing an obligation where this results from circumstances beyond our reasonable control.
Such circumstances may include, for example, extreme weather, natural disasters, wildfire, flooding, government restrictions, strikes, war, civil unrest, epidemics, road or transport closures, wildlife-related restrictions, serious safety incidents, or other events that could not reasonably have been prevented.
Where such circumstances affect an expedition, Aegean Aputure will make reasonable efforts to provide an appropriate alternative, reschedule the activity, or otherwise address the situation in accordance with applicable law.
14. Minimum Participation
Where an expedition or workshop is subject to a minimum number of participants, this requirement will be stated in the relevant booking information.
If the minimum number is not reached, Aegean Aputure may cancel or reschedule the activity and will provide the remedies required under applicable law.
15. Third-Party Services
Certain services connected with an expedition may be provided by independent third parties, including accommodation providers, transport companies, guides, restaurants, activity providers, or other suppliers.
Where a service is provided directly by an independent third party and is not part of a service supplied by Aegean Aputure, that third party remains responsible for its own services, subject to applicable law.
Where Aegean Aputure is legally responsible for a third-party service as part of a package or other regulated travel arrangement, the applicable statutory responsibilities will apply.
16. Data Protection
Personal information provided during booking or participation will be processed in accordance with applicable data-protection legislation and the Aegean Aputure Privacy Policy.
Participants should review the Privacy Policy before booking.
17. Changes to These Terms
Aegean Aputure may update these Terms & Conditions from time to time.
The version applicable to a booking will normally be the version accepted by the participant at the time of booking, unless a change is required by law or agreed otherwise with the participant.
18. Applicable Law and Consumer Rights
These Terms & Conditions are governed by Greek law, subject to any mandatory consumer-protection rights and other mandatory provisions that apply to the participant under applicable European Union or national law.
Nothing in these Terms & Conditions is intended to remove or restrict any statutory rights that cannot legally be excluded.
Where a participant is a consumer, mandatory jurisdiction and consumer-protection rules applicable to that consumer remain unaffected.
