General Terms & Conditions (Aegean Aputure – Photography Expeditions)
1. Registration and Conclusion of Contract
Expedition and workshop registrations can be made via online booking or written confirmation.
By booking, clients acknowledge and accept the General Terms & Conditions of Aegean Aputure.
Registration becomes binding only upon receipt of a written booking confirmation from Aegean Aputure.
2. Payment Terms
A deposit of 30% of the total price is due within 30 days of booking confirmation.
Deposits are not required earlier than 15 months before expedition start.
The remaining balance must be paid no later than 90 days before expedition start.
For bookings made less than 90 days before departure, the full amount is payable immediately.
Payments must be made in Euro (€) via bank transfer or other approved methods.
3. Rebooking
Rebooking to another expedition/workshop of equal value is possible for a flat fee of €50, provided the request is submitted in writing at least 30 days before expedition start.
After this period, rebooking is treated as a cancellation (see Section 4).
Any additional costs incurred due to rebooking (e.g., higher fees, accommodation changes) will be charged to the client.
4. Cancellation by Client
Clients may cancel participation at any time before expedition start.
Cancellation must be submitted in writing via e‑mail to Aegean Aputure.
Cancellation fees are calculated as follows:
More than 151 days before start: 30% of total fee
150–91 days before start: 50% of total fee
90–61 days before start: 75% of total fee
60–0 days before start: 100% of total fee
Alternatively, a substitute participant may be provided at no extra cost, subject to approval.
5. Program Changes
Aegean Aputure reserves the right to make changes to the program, schedule, or content in exceptional circumstances (e.g., weather, safety, local regulations).
Equivalent alternatives will be provided where possible.
6. Cancellation by Aegean Aputure
6.1. Minimum Participants: Expeditions/workshops may be canceled if the minimum number of participants is not reached. 6.2. Force Majeure: In cases of natural disasters, pandemics, war, civil unrest, strikes, airline disruptions, or official restrictions, Aegean Aputure may cancel or terminate expeditions early. In such cases, refunds will be issued minus already incurred expenses. Further claims are excluded.
7. Liability
Participation is at the client’s own risk.
Aegean Aputure and its guides are not liable for accidents, injuries, or damages of any kind.
No refunds are provided for weather conditions that limit photographic opportunities.
By participating, clients confirm acceptance of these conditions.
8. Client Liability for Equipment
If Aegean Aputure provides cameras, lenses, or accessories, clients are liable for damages, including those caused by minor negligence.
Clients are responsible for their own equipment, insurance, and personal belongings.
9. Travel Documents & Insurance
Each client is responsible for securing valid passports, visas, and entry permits to Greece.
Entry documents for Mount Athos are arranged and provided by Aegean Aputure.
Clients must obtain adequate travel insurance covering health, accidents, cancellations, and personal belongings.
Aegean Aputure is not liable for denied entry or lack of insurance coverage.
10. Health & Fitness Requirements
Expeditions may involve physical activity (walking, boat rides, outdoor conditions).
Clients should ensure they are medically fit to participate.
Aegean Aputure reserves the right to refuse participation if health or fitness concerns pose risks.
11. Photography Rights & Usage
Clients retain copyright of their own photographs.
With client consent, Aegean Aputure may use images taken during expeditions for promotional purposes.
No images will be used without explicit written approval.
12. Code of Conduct
Clients must behave respectfully toward guides, fellow participants, and local communities.
Disruptive or disrespectful behavior may result in removal from the expedition without refund.
13. Copyright
All materials, guides, and documents provided by Aegean Aputure are protected by copyright.
Reproduction, distribution, or use without written consent is strictly prohibited.
14. Non‑Compete Clause
Participants agree not to offer identical or similar photography expeditions or workshops for eight years following registration.
All expedition concepts, itineraries, and materials are the intellectual property of Aegean Aputure.
Violations incur a contractual penalty of €25,000 per incident, with further claims for damages expressly reserved.
15. Data Protection
Client registration and contact data are stored securely by Aegean Aputure for service provision and communication.
Data will not be shared with third parties.
Clients may revoke consent for data use at any time in writing.
16. Language & Governing Law
These Terms & Conditions are available in multiple languages, but the Greek version prevails legally.
All disputes are governed by Greek law, with jurisdiction in the competent courts of Serres, Greece.
